Assigning Tasks on the Web

Supervisor users (and above) have the ability to assign tasks to other users in the iReportSource mobile app and website. This document shows the steps for assigning a task through the website.

NOTE: Tasks can only be assigned to active users in the iReportSource system.

  1. Log into iReportSource at https://www.ireportapp.com/login

  2. Choose a location/group to enter your Home page

  3. From the menu to the left, click on Tasks:

4. This will take you to a page that shows all tasks that are currently Active (both open and closed). To create a new task, click Create Task on the top right corner:

5. Fill in the appropriate information:

  • Title - this is the name of the task - choose something concise but that also lets you and the assignee know what it is about

  • Description - go into more detail here about what needs to be done

  • Notes - any additional information can be placed here (optional)

  • Priority - choose Low, Medium or High to help the assignee prioritize their tasks

  • Category - how this task should be categorized (ex. Safety, Quality, Process, etc.)

  • Reason - why is the task being assigned? Ex. compliance

  • Schedule - choose Immediately for a one-off task to just give a due date and assign it one time. Choose Repeating to have the option to automatically re-assign the task on a chosen

  • Attachments - Add any attachments as needed such as Documents (PDFs, Word Docs) and Photos (JPEG or PNG images only).

  • If Immediate:

    • Choose the Due Date for the one-time task

  • If Repeating

    • Choose the Frequency from the drop-down menu

    • Choose the Assign Every option - ex. Monthly you can choose to assign on every 1st, 15th, or last day of the month. Weekly you can choose what day(s) to assign on. (HINT: If you have a daily task, choose Weekly as the Frequency and then choose M-F for the Assign Every drop-down).

    • Choose how soon after the date of assignment that the task is due (from Same Day up to 7 days later).

  • Assignee(s): Choose the employee(s) who need to be assigned this task. You can choose more than one.

    • If you’ve chosen more than one and only need the task completed once, leave the Assign Individually box unchecked.

    • If you want each assignee to complete the task, check the Assign Individually box and they each will have to complete it.

6. Click Create:

NOTE: After you Create the task, the assignee is notified they have been assigned a task and can see it on their dashboard after signing in on the web, or under Tasks if they sign in on the mobile app. You will be notified when a task you assigned has been updated, completed, is 24 hours from the due date or the due date passes without it being completed.

  1. Log into the iReportSource mobile app

  2. Click "Create a New" in the bottom right, then select Assignment:

3. Choose Task Assignment and hit Submit:

4. From here, simply fill out the required fields, give a due date and choose the assignee, then hit the Submit button:

5. After you Submit the task, the assignee is notified they have been assigned a task and can see it on their dashboard after signing in on the web, or under Tasks if they sign in on the mobile app. You will be notified when a task you assigned has been updated. completed, is 24 hours from being past due, or goes past due without being marked completed.
