Safety Meeting notes can be recorded as a document in the system now. This is a great way to track what was covered in each meeting.
Creating and Maintaining Safety Meeting Templates
NOTE: Safety Meetings require a template in order to use. Only Admin level users will be able to create these templates. Templates can only be created on the Web.
1. Sign into your account at https://www.ireportapp.com/login and go to the Company Level
2. Go to Document Repository and select Safety Meeting Templates.
3. In the top right select Page Actions -> Create Safety Meeting Template
4. Fill out the form. You can:
Add a title (required)
Add instructions
Add questions by selecting Add Row.
Each question has the following possible answer types
Dropdown
Multi-select
Radio Button
Checkbox
Text Field
Text Area
Date
Date/Time
Block of text
Employee List
Signature
QR Signature (attendees scan the QR code to digitally sign that they were at the meeting)
Add attachments
Photos (JPEG or PNG)
Documents (PDF or Word)
NOTE: Each Safety Meeting will automatically have fields for Administrator and Attendees.
5. Once filled out, click the green Create button to save your work.
6. From the Safety Meeting Templates page, you can access all your templates, clicking into any to edit or delete.
Tracking a Safety Meeting: Web
NOTE: The QR code for the QR signature question type can only be displayed on the Web.
1. Log in at https://www.ireportapp.com/login and enter your dashboard.
2. In the Create a New section of the home page, click Safety Meeting:
3. Fill out the form, beginning with the Information Card where you select the location, administrator of the meeting, and attendees. After selecting the template, the questions on that template will populate to fill out.
NOTE: The QR code for signatures will become available after you submit the form.
5. Click the green Create button once filled out
6. The questions on the template are now answerable, and the QR signature (if applicable) is available for scanning.
Tracking a Safety Meeting: Mobile
NOTE for QR Code Signature Users: The QR code for the QR signature can only be displayed on the Web. You may still track a Safety Meeting on Mobile, but cannot capture signatures from the QR code until you download it from the web.
1. Log in to the iReportSource Mobile App
2. Click the + icon in the bottom right to bring up Action Items. Then select Create Assignment.
3. Select Safety Meeting and hit Submit
4. Fill out the form, selecting the appropriate template from the Safety Meeting Templates drop down, choosing the Admin and selecting the attendees, then hit Submit.
5. You can now answer any questions on the template.
Make note if the template has the QR Code Signature for Attendees option.
If it does, then save this Meeting, and open it again through the Web in order to access the QR code for the attendees to scan.
6. Once answered, hit Save. Your meeting is now saved and recorded!
Using a QR Code to Sign for Safety Meeting Attendance
Sign into the iReportSource Mobile App
Choose QR Scanner from the menu:
3. Scan the code and select their name from the Who is signing? list.
4. Sign and Save their signature, then submit
7. The signatures will appear under the meeting record:
Reviewing Submitted Safety Meetings: Web
Log in at https://ireportapp.com/login and enter your dashboard
2. Click on Document Repository and choose Safety Meetings:
3. Filter the list of meetings to find the one you want, and click on it:
4. You will see the submitted Safety Meeting and can review all answers that were given. In addition, you can:
Display the QR Code for Attendees to Sign Digitally
Print, Edit, Delete, or Archive the Safety Meeting from the Page Actions menu:
Reviewing Submitted Safety Meetings: Mobile
Log into the mobile app and select the desired location from the drop-down menu. You will only see Safety Meetings that were created under your current location in the mobile app, so this step is important:
2. Click the menu icon and select Safety Meetings:
3. You'll be given a list of previously submitted Meetings, with the most recent meetings first. Click the one you'd like to review:
4. You can review the answers, and click Edit at the bottom if you'd like to make any adjustments:
5. If you do edit, make sure to click Save when finished:
