NOTE: Only supervisor, collaborator, or admin users can view submitted Safety/Quality Audits.
NOTE: Only Admin users can edit photos and notes on submitted Safety/Quality Audits.
NOTE: This review process is the same for both Safety and Quality Audits. This article will use Safety Audits for its example.
Reviewing Submitted Audits
1. Log in on the web at https://www.ireportapp.com/login
2. Click on the location for which you’d like to view the completed audits (admins can choose to view the company level data by clicking on the top company level)
3. Go to the Audits menu and click the type of Audit you want to Review:
4. You’ll be taken to a page that displays all Audits depending on your selection. They are broken down by stage:
New: These audits have been assigned, but not yet started by the employee.
In Progress: These audits have been started, but not yet submitted. You can view any progress that has been saved on these, and add your own answers/photos/notes/corrective actions as needed.
Severity Review: These audits have been submitted with at least one unacceptable item. This is where review takes place and corrective actions can be assigned if they were not at the time of the audit.
Closed: These audits match one of the following conditions:
The audit was submitted with no unacceptable items.
The audit was manually closed after review.
5. Click Severity Review to look at recently submitted audits with unacceptable items:
6. Use the filters to trim down the list as necessary, then click the Audit you’d like to review:
7. The Summary page will show you the overall score, how the questions were answered, how each section scored, and number of corrective actions assigned/completed/past due:
8. If you scroll down from the summary, you’ll see each individual question and how it was answered. You can use the filters to reduce the number of questions being displayed.
Example: You can select to view only the unacceptable items with corrective actions unassigned so you can quickly assign them
9. Click the Assign Corrective Action button under a question to assign a corrective action:
10. You can Download the Audit by clicking on Page Actions in the top right corner and then clicking Generate PDF Link.
11. NOTE: Some audits with a large number of questions and photos may take some time to generate the link. You can continue working and check back to see when it is ready. It will say Download PDF when it is ready:
12. If you find that you need to delete an Audit, you can click the Delete Safety/Quality Audit link in the Page Actions menu:
13. You’ll be asked to confirm that you are sure you want to delete the Audit:
14. To manually close an Audit, you can click on the Audit Stage drop-down menu and choose Closed. Be sure to only do this when you have confirmed that all corrective actions have been completed.
NOTE: If you do this by mistake, you can change it back to Severity Review by visiting the audit again and using the same drop-down menu:
15. Admin users also have the ability to edit the notes and/or photos of Safety Audits that are in either Severity Review or are Closed. To do this, click on Page Actions as described above and then click on Edit Notes/Photos. Once done, click Save to save your changes.
NOTE: You can edit or delete any notes already on the audit, but cannot add new notes.
NOTE: You can only delete photos, not add new or additional photos.
16. Admins and Collaborators have the ability to Archive Safety Audits through the Page Actions menu, or in bulk. This article will go into more detail on the Archive feature.
